Brief Description

The Operations Support Assistant plays a crucial role in providing administrative and operational support within the operations department. In the position the successful candidate will work towards completing a Level 3 Business Administration Apprenticeship qualification with the opportunity to stay and work with the company after completion.

Vacancy Detail

The role involves supporting the Operations Manager by arranging preparing reports, collaborating on presentations, and organising records as well as processing customers orders. The assistant also contributes to the efficiency of warehouse operations, ensuring smooth daily logistics functions.

Key Responsibilities include:

Logistics Coordination:
o Monitor the transportation and delivery of materials to ensure timeliness and compliance with legal requirements.
o Assist in loading/unloading, sorting, stocking, and packaging of merchandise and orders.
o Review, verify, and reconcile shipping documents for accuracy.

Administrative Support:
o Prepare and manage shipping documents, including Commercial Invoices, Packing Lists, and Shipyard Material Receivers for shipments and projects.
o Perform clerical duties such as typing, proofreading, and editing documents, correspondence, and reports.
o Assist in developing and maintaining complex databases, reports, and presentation materials for the logistics unit.
o Maintain an organised electronic filing system, ensuring quick and efficient retrieval of documents when needed.

Data Management:
o Input data from various sources into spreadsheets, ensuring accuracy and verifying calculations.

General Assistance:
o Provide support in completing paperwork and other documentation.
o Assist with housekeeping duties to maintain a clean and organised workspace.

Qualifications Required

GCSE Maths & English grade C/4

Skills Required

• Strong organisational and multitasking abilities.
• Attention to detail and high levels of accuracy in data entry and document preparation.
